Workspaces
A workspace is your private (or shared) container for documents. Each workspace has its own folder tree, members, sharing rules and AI auto-organisation. You can spin up one for Finance, one for HR, one for a single matter or project.
- 1Sidebar → Workspaces → New
- 2Name it (e.g. 'Acme Corp — Q4 Audit'), choose visibility (Private / Team / Organisation)
- 3Toggle AI auto-structure ON — Daiva will infer the right folder tree the moment you upload
- 4Click Invite, paste emails, set role (Viewer / Editor / Approver / Owner)
- 5Upload your first file — AI classifies, files and tags it automatically
A loan officer at a bank creates a workspace per applicant: 'KYC — Rakesh Patel'. They drop the Aadhaar, PAN, salary slips and bank statements in one go. Daiva files Aadhaar under Identity, salary slips under Income, statements under Banking, runs OCR on each, extracts PAN number, name and address, and flags PII automatically.
Note: Workspaces can be cloned with their folder tree but without documents — handy for repeatable processes like 'New Customer Onboarding'.
My Documents
The everyday document view: industry-aware folders, list/grid toggle, per-row actions (version, download, star, share, delete), bulk select for batch operations.

Tick 14 invoices in the Inbox folder → Bulk → Move to → 'Accounts Payable / 2026 / January'. Daiva preserves their version chains, tags and audit trail, and writes a single bulk-move audit entry instead of 14 separate ones.
Smart Search (⌘K)
Hybrid semantic + keyword search across 8 scopes: Content, Metadata, OCR text, Tags, Comments, Form fields, Translated text, Redacted regions. Ask in plain English; Daiva understands intent.

Scan & Classify
Drag in a scanned PDF, phone photo or batch — Daiva runs OCR + ICR (handwriting), classifies it (Invoice / Contract / KYC / Receipt / Report / Form / Letter / Statement / Policy / …), extracts key fields and routes to a review queue if confidence < threshold.

Approvals, Tasks & E-signature
Multi-step workflows route documents through users or groups, with parallel branches, conditional steps on AI-extracted values, SLAs, escalations and e-signature.

Invoice ≥ $10k routes Manager → Finance Lead → CFO (parallel) → AP. Invoice < $10k skips the CFO step entirely. Routing decisions are made on the AI-extracted Total field — no manual triage needed.
Tags
Manual tags, AI-suggested tags (accept/reject), tag groups with colours, hierarchical tags ('Finance / Invoices / Q4'), tag cloud and tag-based saved searches.

Type 'Finance/Invoices/Q4' in the tag picker — Daiva builds the hierarchy automatically. Searching 'Finance' returns everything under it; searching 'Finance/Invoices/Q4' narrows down.
Rich-text Editor
Built-in WYSIWYG editor with auto-save, manual major/minor versions, comments, and AI assistant (Summarize / Rephrase / Expand / Translate / Continue writing).

- 2Type — auto-saves every few seconds; status shown in the top bar
- 3Select text → AI ribbon → Summarize / Rephrase / Translate to → pick language
- 4Click Check-in → choose Minor (v1.1) or Major (v2.0) → write a change note
Highlight a paragraph → AI → 'Rephrase formal' → Daiva returns 3 alternative phrasings. Pick one to replace or click 'Insert below' to keep both.
Version History
Every document has linear v1 → vN. Each version stores author, timestamp, size, change log, status and a hash. Restore any version with one click — it becomes the new tip.

- 4Click Diff to compare against current (text + metadata)
- 5Click Restore — creates a new version (the old tip is preserved, not deleted)
Sharing
Share a whole workspace by email, or a single document via signed link with expiry, password and watermark. Every share is audited and revocable.

- 4Revoke instantly — link 404s immediately, even if cached
Send opposing counsel a watermarked, password-protected link to 6 deposition transcripts that expires after 14 days. Every download is logged with IP, timestamp and user agent.
Inbox & Support
Two-way bus with the admin and your team. Receive broadcasts (system messages, downtime notices), file support / feature / bug requests, watch them move through Open → In progress → Resolved.
